Clinic management software: how to choose

Good clinic software is not measured by how many screens it has, but by whether it carries the whole clinic day without paper and without mistakes, from the booking call to the payment receipt. This guide helps you judge any program before you move your patient files into it.

Start from the working day, not the feature list

Write down your clinic day as it really happens: who answers the phone, how a patient is checked in, who writes the prescription, who collects payment. Then ask of every step: does the software do this without workarounds? A program that sends the receptionist back to a side notebook will be abandoned within weeks.

What the software must do at a minimum

  • An appointment calendar per doctor that prevents double booking and respects working hours and leave.
  • Check-in and a waiting queue with turn numbers, ideally with a waiting-room screen.
  • The complete patient file on one screen: visits, diagnoses, prescriptions and results, with a clear allergy alert.
  • Safe prescribing that refuses a medicine matching the patient's allergy unless a reason is written.
  • Invoices and receipts with sequential numbers, VAT and documented refunds.
  • Reports on revenue, collection, no-shows and doctor productivity, with Excel export.

Where are the patient files kept?

This is the most important question and the one most often skipped. Patient files are among the most sensitive data there is, and many cloud systems keep them on servers you cannot locate. Ask plainly: where is the data stored? Is it encrypted? Who can access it? What happens to it if you stop subscribing?

Bawabetna programs run on the clinic's own computers and keep the records encrypted inside them, and the patient decides what of their data is shared. The program also works without internet, so reception does not stop when the connection drops.

Questions to ask before subscribing

  • Does it run on several computers in the same clinic, with encrypted backups?
  • Can I import patients and records from my current software?
  • Does each staff member get permissions that match their role (reception, nursing, doctor, cashier)?
  • Does it print prescriptions, invoices and receipts the way I need?
  • Can I try the full program before paying?

Moving from paper or from old software

Do not move everything in one day. Start with appointments and check-in for a week, then add prescriptions and invoices. Import the patient list from your previous software first and check a sample before relying on it. Train each staff member only on the screens of their own role.

How much should you pay?

A fair price follows the size of your work: a single-doctor clinic should not pay what a multi-branch centre pays. At Bawabetna the price is a small base that fits your type of establishment, plus a small amount for each extra user, device and branch, and you can try the program free for the first month before subscribing.

Questions?

Which computers does it run on?

The programs run on Windows computers. With several computers, one keeps the office's encrypted vault and the others connect to it over your local network.

Does it work without internet?

Yes. Booking, records, invoicing and printing keep working offline. Whatever needs to be sent is sent when the connection returns.

Where are my records kept?

In an encrypted vault on your own computer. Bawabetna does not host your full working records.

Who decides what is shared about a client?

The client. Clients manage their own consent from their own app; a professional never decides on their behalf.

Can I move my data from my current software?

Yes. Client lists and records can be imported from Excel or CSV files, with a preview before importing and the option to undo.

Is there a free trial?

Yes, the first month of every program is free, with all features and no card. Your data is saved on your device during the month; after 30 days without a subscription the program becomes read-only, and your data stays and you carry on as soon as you subscribe.

Which languages does it support?

Every program and this website work in 16 languages: Arabic, English, French, German, Spanish, Italian, Dutch, Polish, Portuguese, Swedish, Turkish, Indonesian, Japanese, Korean and Chinese (simplified and traditional). You can switch at any time.
